Role Purpose

We are seeking an Executive Assistant to provide dedicated support for our Chief People Officer and Chief Governance and Sustainability Officer. This role involves managing complex diaries, coordinating meetings and communications, complex travel arrangements and handling sensitive information with discretion. The successful candidate will be highly organised, proactive, and able to manage competing priorities across two senior functions, contributing to the efficiency and effectiveness of the leadership team.

 

What you will be doing

  • Manage, and maintain complex schedules, inbox, and co-ordinate meetings across time zones.
  • Handling of confidential correspondence, building flexibility into the diary and anticipating needs to allow appropriate planning and preparation time
  • Acting as a gate keeper managing correspondence, scheduling and preparation.
  • Organisation and coordination of complex global travel arrangements: co-ordination of flights/check in, visas, accommodation and good transportation logistics.
  • Ensure correct briefing notes or papers where required for meetings are prepared in advance.
  • Preparation of bi-monthly Executive Management Review Reporting.

What we are looking for

  • A minimum of 2 years of experience in office coordination, administration, executive support. Prior experience supporting senior executives is highly desirable.
  • Strong ability to prioritise tasks, manage multiple responsibilities, and work efficiently in a dynamic environment.
  • Excellent written and verbal communication skills, with a professional, friendly, and approachable demeanour.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other standard office software.
  • Ability to handle sensitive and confidential information with the utmost professionalism and sound judgment.
