Roles Available – Maternity Leave Cover

We are currently offering two maternity leave cover opportunities:

  • 1 x 6-month contract
  • 1 x 12-month contract

Role Purpose

To provide administrative support to the Sydney Passenger Services Department.

What you will be doing

  • Accurately input and manage workforce data in Kronos.
  • Handle staff inquiries, including pay-related queries.
  • Process shift swap and giveaway requests in line with department policies.
  • Adjust rosters to cover absenteeism and ensure compliance with Service Level Agreements (SLAs).
  • Communicate required roster changes to staff.
  • Manage leave requests in accordance with the Enterprise Bargaining Agreement (EBA), rostering guidelines, and company policies.
  • Maintain and update employee records, including absenteeism tracking.
  • Ensure compliance with company policies, procedures, and EBA requirements.
  • Keep employee personal files up to date.
  • Administer Workers' Compensation processes, ensuring incident reports are accurately completed and lodged on the same day.
  • Liaise with the Training Department to coordinate and monitor training schedules.
  • Maintain and update daily worksheets and reports, including shift reports and overtime records.
  • Oversee uniform distribution, ensuring accurate record-keeping of issued uniforms and stock levels.
  • Conduct regular stocktakes to maintain proper inventory control and adequate supply.
  • Reconcile excess baggage revenue, process banking transactions, and submit financial reports.
  • Manage petty cash administration in accordance with company policies.
  • Order and manage office supplies, ensuring adequate stock levels through regular inventory checks.
  • Maintain personnel sign-on sheets and staff contact details.
  • Collect and file all sign-on paperwork from the Supervisors' office.
  • Organise and maintain filing systems for documents and records.
  • Regularly review passenger numbers to ensure adequate staffing levels, working with the Rostering Department to align check-in agent availability with flight schedules.
  • Support recruitment activities, including coordinating pre-employment checks and preparing onboarding documentation for new hires.
  • Coordinate the repair and maintenance of office and communication equipment, maintaining detailed records.

What we are looking for

  • Intermediate to advanced proficiency in computer applications, including MS Office (Excel, Word, Outlook).
  • Strong verbal and written communication skills.
  • Excellent attention to detail and accuracy in administrative tasks.
  • Strong organisational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Previous experience in Workers' Compensation administration is preferred.
  • A proactive, positive, and solutions-oriented approach to work.
  • Ability to thrive in a fast-paced environment.
  • Previous experience in aviation or a similar operational environment is advantageous but not essential.
