Role Purpose

To support the cargo department with their daily operational, local payroll and office administration needs.

General and Administration: 

  • General office administration duties including reception, filing, processing mail, answering telephone enquiries, ordering and monitoring office stationery and supplies, maintaining an organised office environment and restock office supplies
  • Complete reconciliations and reports for cash and electronic sales transactions.
  • Update systems with starters and leavers
  • Help to manage and minimize operational costs and expenses
  • Manage the records, ordering and distribution of staff uniforms
  • Maintains a positive working relationship with the management team, supervisors and customers in all areas of the business. Assist the senior management group with general administrative requirements
  • Manage sensitive information with confidentiality and integrity
  • Minute operations and customer meetings as required
  • Event management including- arranging/booking catering, coordinating flights and accommodation
  • General running of day-to-day operations, including maintenance calls, service quotes, office cleaning, and liaising with other suppliers
  • Produce reports for management and Human Resources
  • Being responsible for local payroll responsibilities, which include using the payroll system, entering and updating rosters, processing daily exceptions (collecting, calculating and entering data) and managing staff leave forms
  • Producing payroll statistics and reports
  • Respond to staff and management enquiries to resolve payroll disputes and enquiries
  • Preparing monthly invoice data and statistics and updating billing systems.
  • Adhoc tasks as requested by the General Manager

What we are looking for

  • Ability to interpret relevant EBAs and Awards
  • Aviation experience desirable but not essential
  • Strong verbal and written communication skills
  • Customer service skills
  • Proficiency in the use of Microsoft Office products in particular Word, Excel and Outlook
  • Ability to work under pressure and manage high volume rostering requirements
  • Willing to be flexible to work outside normal office hours to meet special operational needs if required
  • Excellent attention to detail
  • Exceptional organisational and time management skills
  • Fast learner and ability to adapt to change
  • Ability to work autonomously unsupervised
  • Strong knowledge of work related processes & procedures
  • Advanced computer skills
  • Ability to multi task
